The principles outlined below could apply to whatever are the current requirements of the Hon Regatta Sec.
Regatta Entries
[Any suggestions of better systems most welcome. This suggested system largely redundant after the introduction of OARA the online ARA MySQL interactive website system ]
1. Each crew is to be responsible to elect, name, appoint or bludgeon a member as crew representative [Rep.] and let the Hon. Sec. [Alan Hawes] or the OARA rep. know in writing his/ her work Tel No. email etc
2. The Rep is responsible for obtaining one and photocopying enough new ARA forms for this year's regattas OR using Alan's club form available from him
3. and getting the ARA numbers, points, age, and all other relevant information for the crew and any substitutes/ [composite members]
4. Your COACH should identify the crews and events to be entered and either give them to the rep or enter them him or herself by the deadline time and date given by Alan on the Club Hon Sec Rowing notice board.
5. To do this
a. Fill in an ARA form [or the Club form from Alan] correctly and completely with no omissions for later entry. If it is an OARA entry all that is needed is the name and intials and date of birth but the ARA number would also be ah help.
b. Obtain cheques from individual athletes for £12 per event not just the first entry [unless in exceptional circumstances agreed with the Captain/Hon Regatta Sec - and only them - for a lesser sum for second events at the regatta to cover cost only] or, in the event of them having only cash, supply a cheque in lieu, such that only cheques payable to 'Thames Rowing Club' are presented. [Reps may choose to cover their crew with their own cheque!]
c. Present the filled-in form to ALAN HAWES [or in only his absence the CAPTAIN] for signature [or, if they are both not available after ALL reasonable efforts have been made to find then, to an officer of the Club (Depty Captains first, then others)]
d.
i) Give Alan the cheques [with the list the names of any persons concerned not on the cheques e.g. those covered by a friend's cheque or cash swap] for assessment on payees and later processing.
ii) If not personally given, put the cheques onto the notice board in an/ the envelope addressed to Alan Hawes
iii) Or in the Rowing Office in his "in" tray on the l.h.s. as you walk in
Please note that any entries not conforming to all these requirements are most unlikely to be processed particularly any late ones or ones with missing money.
Do not blame any one but yourselves if this happens. If you want an entry it is up to you to organise it.
